What Copyeditors and Proofreaders Really Do—And Why Authors Need Both

What Copyeditors and Proofreaders Really Do—And Why Authors Need Both

If you’ve ever wondered whether you need a proofreader, a copyeditor, or both, you’re not alone. These two stages of editing are often confused, blended together, or treated like interchangeable steps. But they serve very different purposes, and understanding the difference can help you protect your story, your voice, and your readers’ experience.

As someone who works with fiction and romance authors every day, I see the same pattern: writers know they need “editing,” but they’re not always sure what kind. So let’s break it down in a clear, practical way.

Copyediting: The Deep Clean

Copyediting happens before proofreading. Think of it as the stage where your manuscript gets smoothed, clarified, and strengthened.

A copyeditor focuses on:

  • Clarity: making sure every sentence says what you meant
  • Flow: tightening pacing and smoothing transitions
  • Consistency: character details, timelines, names, settings
  • Grammar and usage: fixing errors and awkward constructions
  • Tone and voice alignment: keeping your style intact while improving readability
  • Logic and continuity: catching contradictions or confusing moments

Copyediting is where your writing becomes stronger, cleaner, and more intentional. It’s not rewriting your story. It’s elevating it so readers stay immersed without stumbling.

Proofreading: The Final Polish

Proofreading is the last step before publishing. It’s not about rewriting or restructuring. It’s about catching the tiny things that slip through even the best drafts.

A proofreader focuses on:

  • Typos
  • Missing words
  • Extra words (“the the”)
  • Punctuation errors
  • Formatting inconsistencies
  • Homophones (peak/peek, waist/waste, etc.)
  • Small clarity issues that affect readability

Proofreading protects your professionalism. It ensures your book looks polished, intentional, and ready for publication and your readers.

Where These Fit in the Bigger Editing Process

Many authors don’t realize that copyediting and proofreading are just two parts of a larger editing journey. Here’s the full picture in simple terms:

1. Developmental Editing (Big Picture)

This is the “story‑level” edit. It focuses on: plot, character arcs, pacing, structure, world‑building, and emotional beats. This is where major changes happen.

2. Line Editing (Sentence‑Level Craft)

This is the “artistic” edit. It focuses on: rhythm, tone, voice, emotional impact, sentence‑level beauty. Not every author needs this, but it’s transformative when applied.

3. Copyediting (Technical + Clarity)

This is where your writing gets tightened, clarified, and corrected.

4. Proofreading (Final Check)

This is the last pass before publishing. This is your safety net.

Understanding these stages helps authors choose the right support at the right time. And it prevents the common mistake of skipping straight to proofreading when the manuscript still needs deeper work.

Why Both Copyediting and Proofreading Matter

Copyediting improves writing.
Proofreading improves presentation.

Skipping one often means the other has to work twice as hard. Neither stage replaces the other.

Here’s the simplest way to think about it:

  • Copyediting fixes the story’s delivery.
  • Proofreading fixes surface errors.

Together, they create a book that feels smooth, consistent, and trustworthy—the kind readers recommend.

Final Thoughts

You don’t need to know every technical term. You don’t need to understand every editing level. You just need to know this:

Copyediting makes your writing shine.
Proofreading makes your book clean.
Both protect your voice and your reader’s experience.

If you’re unsure which stage your manuscript needs, or you want a quick assessment, I’m always happy to help you figure out the right next step.

The Small Edits That Make a Big Difference

✏️ The Small Edits That Make a Big Difference

Every writer knows the thrill of finishing a draft—that moment when the story is finally out of your head and onto the page. But between “finished draft” and “ready to publish,” there’s a quiet stage that often gets overlooked: the small edits.

These aren’t the sweeping rewrites or the big structural decisions. They’re the subtle adjustments that strengthen clarity, sharpen voice, and help your reader glide through the story without friction.

Here are a few tiny edits that consistently elevate a manuscript:

1. Tightening dialogue tags: A simple shift from “she exclaimed loudly” to “she exclaimed” or even just “she said” can make dialogue feel more natural and confident. Redundant adverbs are usually the culprit, so trimming those is a great place to start. Trust your characters' words (and your readers) to carry the emotion. That said, expressive tags like “whispered” or “murmured” absolutely have a home in romance. Just use them with intention.

2. Clearing out filler words: Just, really, very, suddenly—they sneak in everywhere. Removing even half of them gives your prose more authority.

3. Choosing intentional repetition: Repetition can be powerful when it’s purposeful. But accidental repetition? It dilutes impact. A quick scan for repeated phrases can make your writing feel cleaner instantly.

4. Checking for rhythm: Read a paragraph aloud. If you stumble, your reader will too. A small tweak to sentence length or structure can restore flow. I find it helpful to use a text-to-speech tool—even your phone or computer's built-in reader works. I can't tell you how many times I've heard something that I didn't see was wrong.

5. Aligning tone with intention: Sometimes a sentence is technically correct but emotionally off. A gentle shift in word choice can bring it back into harmony with the scene.

Small edits don’t always get the spotlight, but they’re the quiet heroes of a polished manuscript. They’re the difference between “good enough” and “this feels right.”

And if you’re in the middle of a draft right now, consider this your reminder: the little things matter. They’re often what make your voice shine.
